Activate Your Documents: Advanced Document Action

We’ve made some exciting updates to improve the document actions within Revver. The document actions make up the action-based features found on the right side of the screen, made available as you click into a document. Some of the improvements you will experience with this product update are:

  • Faster document previewer and loading times
  • Easier setup and management of actions with improved functionality
  • Smoother, more intuitive, and modernized usability
  • Updated icons for easily identifiable navigation

This update is only available to users in the New Experience. If you haven’t already, opt in to the New Experience to get access to all of Revver’s latest and greatest product upgrades.

What Are the Document Actions?

When navigating within Revver, the document actions are the stacks of icons that open to the right of your document. The functionality serves as a menu of quick-access actions that users can perform on each cabinet, drawer, folder, or document, saving time and increasing productivity when executing day-to-day processes.

The action tabs that you will find in your account are:

  • Details
  • Previewer
  • Profiles
  • Permissions
  • Notes
  • Governance
  • Automation
  • History
  • Open Microsoft365

What Changes Can You Expect?

Although the document actions will look slightly different that what you have become accustomed to, we can assure you that you will not lose any of the functionality that drives your document work. This enhancement has made it simpler for you to access the tools within each document action tab, with more streamlined paths to achieving your desired results.

Depending on the system permissions granted to you by your Admin, you may not have access to all of the action tabs mentioned below.

Introducing Details for All Files

All information and version history for a document has been consolidated within Details. Details gives you a quick-access source for all relevant file information (including upload date, creator, size, etc.).

The file version history can also be found in Details. You still have the ability to change permissions on file versions, but can now access it alongside other pertinent document details. 

Faster Previewer for Faster Document Work

Previewer has also undergone enhancements. You’ll be able to access the full-screen document previewer with fewer clicks, and at lightning-fast speed which is a noticeable upgrade. This enables you to complete document work in a decluttered environment at a more efficient pace.

Improved Metadata With Profiles

Profiles are being transformed to have a more intuitive interface for all profile information, providing a better at-a-glance view with the ability to make profile item adjustments quickly. 

Stay tuned! Updates to Metadata are coming this fall for even more intelligent and powerful data extraction.

Understand Permissions by Category

Permissions grant you complete control and transparency over how users, groups, and guest users have access to documents, and the actions they can take upon them. 

The updates to Permissions give you more insights into how users are accessing documents and access links with an easier visualization of various permissions settings. You’ll find a more detailed table view with a simplified look into the exact permissions assigned to each user, links created, categories created, and the ability to edit them with just a click.

Generate Notes With New Shortcuts

Improve the way you can add notes for any items in your documents. Revver is introducing keyboard shortcuts to increase efficiency across document work, with a place that users can leave important comments relating to the document. System actions will continue to automatically generate notes, so you can keep track of all comments, version changes, and more in one centralized location.

Audit Log Is Now History

History (formerly known as Audit Log), gives you a complete history of the lifecycle of the document. History incorporates additional information surrounding the actions taken upon an item. The new Detailed View provides a full-screen modal with in-depth information regarding a document’s history for each entry.

*This only refers to the Audit Log giving a history of each individual document or folder. The system-wide Audit Log displaying an entire account’s history remains unchanged. 

Quick Access to Automation

Automation allows you to reduce the manual work surrounding your document processes in fewer steps. You can have a quick-view of automations, with improved interactivity that can walk you through the setup process. This tool equips you with automations across five distinct categories that are critical to document-related processes:

  • Apply Folder Templates
  • Email/Notify
  • PDF Timestamp
  • Start Workflow
  • API Callouts

Easily Create Governance Policies

Governance allows you to create policies such as adding a protection or scheduling an action as you always have been able to do. The new Governance tab delivers an improved interactive experience between the user and the system for step-by-step governance policy setup.

Improved visuals will help you better understand which existing policies have already been applied to your documents and folders.

Other Document Action Highlights

In addition to all the exciting updates and increased ease of use across document actions, there are a few more things you can expect with this change.

Microsoft365

When accessing documents as part of your Microsoft365 integration, a new icon will appear to indicate that your documents will open up in a new tab.

Password-Protected Documents

Revver will no longer support the creation of new passwords on documents. Documents that are already password-protected won’t require any change, but users will not be able to create new passwords. We encourage you to use Permissions to exert complete control over who has access to your documents with professional-grade security and compliance management in place.
